We are looking for an experienced leader to join our executive office team. Reporting directly to the Chief Financial Officer and working in close partnership with the Chief Operating Officer and the Managing Partner, the Executive Manager is responsible for running the executive office and leads the execution of a number of firm-wide initiatives, meetings and events. The Executive Manager prepares and critiques communications, meeting materials, strategies and plans for the executive team.

The Executive Manager must be comfortable working independently and as a member of a team and have confidence and demonstrated capability serving as a connector and co-ordinating work between multiple departments. The successful candidate will demonstrate strong knowledge of effective business practices, and demonstrated capability in financial management, project management, leadership and communication. It is critical the successful candidate is collaborative and adaptable, displays good judgment and professionalism and has a strong work ethic.

The ideal candidate will be located in either Calgary or Regina; however, the position can be located in any one of our offices across Western Canada, with remote work flexibility. The role will require some travel, primarily among the six offices, but also to other parts of Canada from time to time.

Responsibilities include:

  • Supporting the executive team in the development of strategy, facilitation plans and agendas and leading executive team related planning and prioritization
  • Completing research, follow-up activities and data analysis to support executive team decision making
  • Managing executive board and leadership team action items, meeting schedules, logistics and meeting material preparation, ensuring all documentation and follow-up is completed in a timely and accurate manner
  • Managing and ensuring the successful execution of firm-wide events, including retreats and townhall meetings for partners, lawyers and staff
  • Executing and monitoring specific firm-level projects and programs in partnership with management team members and stakeholders
  • Providing guidance to leadership team members on initiating, structuring, executing and managing the change impacts associated with initiatives efficiently and effectively
  • Developing and managing the executive team's annual communications calendar, initiating and preparing drafts for review well in advance
  • Reviewing and critiquing incoming requests and approvals for the executive team, including providing recommendations, edits and rewrites as required
  • Providing coaching and direction to the Executive Assistant to resolve schedule conflicts, prioritize and co-ordinate executive team activities and action items

Qualifications include:

  • Bachelor's degree in business or commerce
  • A minimum 10 years of progressive responsibility in senior-level individual contributor and formal leadership roles in a business environment
  • Experience working effectively with executive leadership teams and board of directors
  • Experience working in a client centric service industry demonstrating service excellence, responsiveness and proactivity
  • Experience in an internal corporate communications or investor relations role would be an asset
  • Proven track record of leading successful projects, executing with urgency and collaborating across functional areas and with key stakeholders to achieve positive business results
  • Strong analytical and critical thinking skills
  • Proven event management skills
  • Knowledge of human resources guidelines, policies and processes
  • Meticulous attention to detail as well as strong organizational and time management skills
  • Critical thinking capabilities, problem-solving skills and ability to make decisions without all information readily available
  • Excellent writing and presentation development skills
  • Working knowledge of Microsoft Office suite of products including Excel and PowerPoint
