Overview

Responsible for non-management and non-strategic operational functions of the office. Tasks may include administrative oversight on assigned projects. Provides operational support for the branch. This role does not have direct employee supervision responsibilites.


How you'll make an impact

BOSS Standards

  • Responsible for ongoing implementation of BOSS Professional Standards within the branch
  • Monitor and implement all new audit requirements
  • Verify that all documents and files are maintained consistent with GBS Professional Standards
  • Assist with preparation for Corporate TSC Audit
  • Assist with employee training on BOSS standards
  • Responsible for quarterly updates of the Business Continuity/Disaster Recovery Plans as well as Annual Record Retention activities

Budget & Finance

  • Assist Manager with monthly commission tracking
  • Research and resolve Aged Receivables from Finance
  • Research and resolve outstanding branch expenses (supplies)
  • Monitor, research and resolve finance related reports as directed by manager
  • Assist with annual budget as directed

Administrative

  • Keep track of the local GBS assets as directed by the Operations Manager. Act as liaison between the IT Department and the Branch Operations Manager
  • Responsible for tracking staff insurance license expiration
  • Coordinating insurer contracting for new Producers; including transfers of business between producers when required
  • Coordinate vacation/track schedules
  • Assist with new hire onboarding needs including: prepare desk / office, order business cards, calling card, request building access, request computer and phone access
  • Provide support to team for special projects
  • Floor Warden for building fire drills
  • Liaison for facility maintenance issues
  • Other responsibilities as identified by the Operations Manager or National Director

Development

  • Assist Consultants, Producers and Account Management with maintaining access to systems such as GCRM and Canada AMP including; onboarding training to systems, researching issues, and run reports as needed
  • Provide support for regional sales initiatives
  • Responsible for all Salesforce Campaigns including Marketing Cloud, material preparation, logistics, forms, and attendee logistics
  • Prepare and transmit correspondence/mailings to clients, markets and prospects
  • Provide support for branch Niche groups

Other

  • Other duties as assigned by Branch Manager or Regional Operations team

About you

We look for independent, self−motivated, and goal and people−oriented team members. We require strong project management skills. You will be juggling multiple projects and we need you to stay organized. Efficiency and attention to detail are paramount in our environment. We are looking for a team member who excels in a self-service environment and has a “no job is too small” attitude. We need great teammates who effectively and respectfully collaborate with diverse work groups. You will need strong computer skills and proficiency with Windows-style applications, email, and internet.

  • College degree preferred
  • 1 to 2 or more years of experience in the risk management/insurance field (carrier, corporate, broker/consulting)
  • Experience working with Canadian Employee Benefits and/or Retirement, Vendors, and Insurance Carriers
  • Life and A&S license; CEBS designation, both an asset but not required
