Purpose

The Manager, Payroll report to the Director, Total Rewards & People Analytics.

The Manager, Payroll is responsible for ensuring payroll runs accurately, timely and in compliance with respective regulatory requirements and policies. This position plans, develops, implements, administers, maintains and evaluates payroll systems required to support the payroll operations and activities. This position is integral in ensuring global payroll processes and services of Rocky Mountaineer are managed to the highest standard. This hands-on role is all-encompassing of process development, team leadership, operational payroll management, and compliance.

Key Areas of Accountability

Payroll & Communication

• Manage Rocky Mountaineer's payroll for approximately 1100 employees during the high-season and approximately 350 in the off-season months, working with the payroll team: global payrolls (Canada, US, UK, Australia), salary and hourly employee, bi-weekly and monthly schedules, and complex pay rules and set-up

• Reporting and payment of all payroll obligations and required remittances to external organizations, such as CRA, IRS, RRB and other government agencies, on a timely basis

• Develop, deploy, and maintain payroll procedures and processes

• Make recommendations for implementation of approaches that will improve efficiency

• Liaise with UKG Pro as required to maintain the payroll system and adapt to business changes and resolve any systems problems

• Collaborate with the People & Culture team for employee data management and payroll changes

• Complete proper administration and calculations of taxable benefits, as applicable

• Calculate and administer ad hoc employee changes (i.e. promotions, severance calculations)

• Manages communication of payroll-related changes to internal stakeholders

Compliance and Accounting Reporting

• Manage compliance audits from various entities (i.e. Services Canada, WCB, international employment regulators), as required

• Set-up, register, and calculate remittances for various worker's compensation programs

• Internal GL reporting and support budget owners understanding payroll costs (Accrual accounting, variance analysis, budgeting)

• Key contributor to annual financial planning and budgeting

• Review and finalize journal entries related to payroll

• Reconcile monthly GL balances related to payroll with Finance

• Prepare, review, and finalize season-end and fiscal year-end payroll procedures

• Create and customize payroll reports as requested

• Ensure awareness of and compliance to applicable employment legislation and administration of all applicable withholdings and remittances

• Complete internal audit of payroll

Compensation and Benefits

• Working with the Total Rewards team to support compensation and benefits programs

• Prepare relevant payroll communication and act as a key point of contact for various groups with the company (Employee communication related to payroll information, provide support to cross-functional department owners for compensation planning and reporting and executive compensation reporting)

• Administer compensation for Board of Directors and act as the contact person for questions from the members

• Administer employee and executive retirement savings plans (i.e. Canada RRSP, UK pension matching, etc.)

• Administer employee and executive incentive programs

Team Leadership

• Provide leadership, training, coaching, and guidance to the payroll team

• Develop cross training initiatives within the team to ensure appropriate backups for team members in the event of increased volume and for vacation coverage

Qualifications

Education / Certifications / Experience

• Completion of a Diploma in accounting, business administration, or a related field

• Payroll Leadership Professional designation

• 8-10 years payroll experience in managing multiple payrolls, including domestic and international

• Experience with UKG Pro

• Team leadership experience is required

Skills

• Strong Microsoft Office skills with advanced Excel skills

• Excellent analytical, detail-oriented, and accuracy skills; synthesize complex information; collect and research data; design workflows and procedures

• Maintain confidentiality of compensation information and exercise considerable tact and diplomacy when dealing with internal team and external third parties

• Proactively drive process and quality improvement

Please note this is a 18 months maternity leave coverage.

Work Environment

• Vancouver-based; hybrid role with minimum 3 Days in office.

Compensation

  • The base salary offered for this role is $90,000 - $110,000 per annum and can vary based on job-related expertise, qualifications, experience and internal equity.
