Job Overview

The Marketing Operations Specialist is a key member of the Marketing team, playing a key role in streamlining operations and managing the marketing budget. This detail-oriented incumbent will report into the Manager, Marketing Operations with administrative and project management related assignments. This role requires strong organizational skills, ability to learn new technologies, proficiency with budgeting, and the ability to collaborate cross-functionally to ensure seamless execution of marketing initiatives.

Job Responsibilities

  • Capture, track, and reconcile marketing spend to ensure accurate reporting and alignment with finance.
  • Ensure timely processing of invoices and communication of accruals for the Marketing team.
  • Maintain strong internal partnerships by working closely to manage monthly estimated spend per business owner.
  • Manage the Marketing Intake mailbox and direct requests to marketing business partners.
  • Allocate tasks, track progress, and proactively identify and address any potential roadblocks or resource constraints.
  • Administer licenses and champion adoption for marketing workflow planning tools and processes (i.e., WRIKE, Planful).
  • Develop custom, automated reports and dashboards using planning software (i.e., WRIKE, Planful) to visualize key metrics and KPIs, providing stakeholders with clear and actionable information.
  • Assist with establishing SLAs and key process performance indicators (KPIs) and providing ongoing tracking and measurement of them.
  • Standardize and document operations processes to enhance team efficiency and ensure best practices across the entire marketing organization to streamline workflows.
  • Day-to-day maintenance and optimization of our integrated marketing calendar.
  • Identify opportunities for automation to streamline repetitive tasks and reduce manual effort.
  • Assist in other marketing projects as needed by supporting the Manager, Marketing Operations in developing comprehensive project plans, timelines, and dependencies for key programs and campaigns.
  • Ensure marketing process documentation is up-to-date, accurate, and easily accessible.

Qualifications

  • Post-secondary diploma in business, marketing, communications, or related field.
  • 3+ years of experience in marketing operations or a related field.
  • Highly desired team player with effective communication skills and strong project management background.
  • Excellent organizational skills including handling multiple demands and assignments and the ability to prioritize tasks effectively and efficiently.
  • Strong analytical skills and a passion for timelines/tasks.
  • Experience with marketing planning tools such as WRIKE, JIRA, Marketing budgeting software is an asset.
  • Desire and interest in marketing technology.
  • Proficiency in Microsoft Office Suite, including Excel and PowerPoint.
