Job Summary
The Faculty of Science's Marine Affairs Program (MAP) provides an inquiring and stimulating interdisciplinary learning environment to advance the sustainable use of the world's diverse coastal and ocean environments through education, research and outreach. Reporting to the Director, MAP and to the Assistant Dean (Finance and Administration), Faculty of Science, the Administrator will be responsible for the development, management, and coordination of multiple services for MAP and the Master of Marine Management (MMM) program including finances and administration, admissions, and public relations/marketing.
Key Responsibilities
  • Coordinate promotion of the MMM. Deliver recruitment seminars. Serve as principal point of contact for potential applicants and initial point of contact for students. Assist in coordinating the internship program, securing appropriate placements and graduate project supervisors.
  • Review MMM applicants to determine if they meet admission criteria and process application files for admissions committee and serve as committee member advising on qualification standards and scholarship applications. Analyze, take action and make recommendations on admissions statistics.
  • Support the MAP Director, Department Committees, faculty members, and MMM students. This includes hiring and supervising part-time and casual staff; submitting payroll documents; and establishing and monitoring office and computer systems.
  • Develop and manage MAP operating budget. Serve as principal contact for financial matters with Financial Services, Faculty of Science, Research Services, and, as required, external contract agencies.
  • Monitor the Sobey Fund for Oceans (SFO). Develop and manage budget. Serve as main contact for the SFO Advisory Group and SFO scholarship applicants and recipients. Recruit and process scholarship applications. Supervise the Sustainable Ocean Conference's coordinator and student leadership.
  • Develop and implement MAP and MMM marketing and public relations activities. Facilitate and support development fund campaign in conjunction with Advancement. Maintain websites and social media. Develop, edit, research, and produce MAP publications and promotional materials.
Note
The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work) as agreed by all parties based on operational requirements and university guidelines.

Required Qualifications
  • University degree in relevant field plus approximately five years' related experience (or equivalent combination of training and experience).
  • Excellent interpersonal and communication and presentation skills.
  • Demonstrated ability to meet deadlines under pressure, work independently, and maintain relevant proficiency and knowledge.
  • Strong problem-solving and analytical skills.
  • Experience designing print and web-based/social media materials and developing content for a range of audiences.
  • Experience with MS Office and Adobe Creative Suites with the demonstrated ability to learn new programs.
Assets
  • Experience supporting/working with international and/or graduate students.
  • Masters degree in relevant field.
