Role Overview
Based out of Mississauga and Southcore Financial Centre, the Assistant Property Manager will support a portfolio of properties. Reporting directly to the General Manager, the successful incumbent will be responsible for providing best in class customer service the day-to-day operations of the portfolio.
Responsibilities
Conduct and document periodic comprehensive building inspections, as well as routine follow up to ensure all items identified are addressed in a timely manner.
Supervise assigned contracts/contractors' obligations for service contracts as assigned.
Assist in the tendering of property services contracts.
Maintain and update contract schedule. Ensure contract documents are uploaded to Procurement site.
Provide support to the General Manager and Property Manager in the day-to-day activities for buildings in the portfolio.
Analysis of financial results as part of monthly and quarterly reporting requirements.
Assist with annual budget process for buildings within the portfolio and assist in completing the budgeted projects.
Assist General Manager to verify year-end Tenant Realty Tax and CAM information for year-end adjustments.
Liaise with tenants for escalated collection of accounts receivable.
Administer lease related payments (i.e. tenant allowances, rent allowance, etc.)
Work closely with Project Management team on lease related Landlord's Work.
Support Capital projects including review of invoices, job cost forecasting in Yardi, tenant bulletins.
Review invoices prior to process to ensure accuracy with coding/back up and comply with budget schedules.
Administrative functions relating to property management and analysis of leases.
Establish and maintain strong working relationships with tenants and participate in regularly scheduled tenant meetings.
Assist with Leasing tours and oversee monthly inspections of vacant units.
Ensure building floor plans are up to date.
Monitor QuadReal Connect to ensure overall service delivery is consistent with QuadReal standards.
Lead and support building activations and tenant appreciation events.
Read and understand leases to ensure accurate information is received and maintained.
Adopt use of RealData and other platforms as required to support sustainable initiatives, procurement processes, marketing practices.
Complete understanding and adherence to the Environmental Policy, the Code of Conduct and other policies and procedures relevant to the position as prescribed from time to time.
Other duties as directed by the General Manager.
Qualifications
3+ years of related Property Management experience or post-secondary courses in property management required.
Relationship Skills - Ability to communicate effectively and professionally, both oral and written with owners, tenants and team members; ability to develop and sustain cooperative working relationships; professional phone manner; mature and self-motivated team player with good conflict-resolution skills; committed to personal growth and integrity aligned with QuadReal's objectives
Organizational/Multi-Task Skills - Ability to allocate one's time effectively and manage tight deadlines; ability to work under pressure and achieve quality results; ability to handle multiple demands and competing priorities, and adapt to new ideas and constant changes; results oriented, detail oriented and accurate

Computer Skills - Intermediate to advanced skills in MS Office, MS Dynamics and Adobe Document Creator, knowledge of Yardi accounting program.
