Purpose
Contributes to the overall success of the assigned campus in Canada ensuring specific individual goals, plans, initiatives are executed / delivered in support of the team's business strategies and objectives. Ensures all activities conducted are in compliance with governing regulations, internal policies and procedures.
The job requires skills in service delivery, communication, and administration to ensure employees and visitors of the space are supported and remain productive.

Is this role right for you? In this role you will:

Client Experience:

  • Champions a customer focused culture to deepen client relationships and leverage broader Bank relationships, systems, and knowledge.
  • Support and facilitate a first-class employee and visitor experience.
  • Work closely with varying teams or groups to support the execution of engagement activities within the Campus.

Administrative Support:

  • Accountable for the accurate and efficient intake activities, including sorting of mail, scanning, printing, and indexing.
  • Accountable for Iron Mountain requests, shipping and storage management.
  • Assists in providing general administrative support and ad-hoc projects for the Campus on an as-needed basis. This may include supporting the Distribution Team and Campus Community Leads with meeting room requests, meeting room technology first level support and escalation, maintaining common area coffee stations, ordering, and distributing stationery supplies etc.
  • Provides help to occupational health and safety initiatives in the campus (OHS committees, addressing OHS issues, maintaining health and safety supplies).
  • Campus issue tracking and remediation through established processes.
  • Assists with timely submission and tracking of vendor invoices.
  • Conduct floor checks and escalates premises and cleanliness issues.
  • Proactively anticipate needs of employees within the Campus while concurrently taking steps towards solutions.
  • Contribute to a team focus of continuous improvement, improving how we work, including the experiences and environment within the Campus.
  • Work comfortably with a wide variety of people at all levels.

Other:

  • Understand how the Bank's risk appetite and risk culture should be considered in day-to-day activities and decisions.
  • Actively pursues effective and efficient operations of his/her respective areas in accordance with Scotiabank's Values, its Code of Conduct, and the Global Sales Principles, while ensuring the adequacy, adherence to and effectiveness of day-to-day business controls to meet obligations with respect to operational, compliance, AML/ATF/sanctions, and conduct risk.

  • Excellent organizational skills, including ability to prioritize and coordinate multiple tasks
  • Able to work with minimum supervision and in collaboration with a large team
  • Strong interpersonal skills with the ability to effectively interact with internal partners and external clients and employees at all levels
  • Intermediate skills in the MS Office (Word, Excel, Outlook, One Note, MS Teams) with high proficiency in excel and data management
  • Basic skills in OfficeSpace Facility Management Tool
  • Knowledge of conference/meeting room technology, video conferencing, etc. or ability to learn
  • Responsive to shifts in direction and priorities and schedules
