What is the opportunity?

Responsible for providing organizational and executive administrative support - with a high degree of confidentiality, discretion and judgement - to the Chair of the Board, directors and the Corporate Secretary's Department, in the coordination and execution of Board and Committee matters. Acting as a "chief of staff" to the Board Chair and the primary liaison between the Chair, Board of Directors, Corporate Secretary, Senior Executives, shareholders and other external stakeholders.

What will you do?

  • Responsible for day-to-day operations of the Office of the Board Chair and full range of administrative processes, including extensive calendar management, preparation of highly time-sensitive and confidential materials and correspondence, travel arrangements, and expense management.
  • Manages all requests to the Board Chair and directors for internal and external meetings, speaking engagements and media interviews. Assists with speaking engagements / preparation of speeches and other prepared remarks, providing input and advice to the Chair, Corporate Communications and event hosts with regards to format, style and content. Incumbent possesses authority to make autonomous decisions on behalf of the Chair of the Board.
  • Manages RBC-related Board of Directors activities and logistics such as scheduling of onboarding sessions, recruitment interviews, meetings with GE, subsidiary counterparts, stakeholders and regulators. Main point of contact for directors and their staff for general questions.
  • Manages all aspects of Board of Directors social events, retirement events and dinners including setting agenda, sourcing vendors and all logistical and staffing requirements. Manages all logistics for in-person Board and Committee meetings including liaising with executive dining, booking travel and accommodation including car service, and ensuring appropriate IT capability and support.
  • Responsible for routine correspondence to the Board of Directors on behalf of the Corporate Secretary's Department

What do you need to succeed?

Must-have

  • Bilingual (English and French)
  • Strong communication skills (written and oral)
  • Minimum 7 - 10 years' experience
  • University degree or diploma in business or administrative studies
  • Strong MS Word, PowerPoint and Excel technical skills

Nice-to-have

  • Experience in supporting C-suite executives
  • Assertive and confident with exceptional professionalism and anticipation skills
  • Possesses unparalleled ability to read complex settings and the ability to recognize and respond to a variety of people and circumstances
