What is the Opportunity?
The coordinator is an integral team member who provides direct support to the VP, Wealth Management Strategy & Transformation (WM S&T), as well as related project management and team coordination activities. The incumbent is responsible for organizing related schedules and information, maintaining calendars, scheduling meetings, coordinating travel arrangements, and handling expense reports to ensure operational effectiveness.
This person will also be responsible for managing the Wealth Management Operating Committee calendar and agenda planning, in conjunction with VP, WM S&T. This position will require flexibility in being able to adapt to different project situations and manage new and on-going initiatives and tasks.
What will you do?
Administrative tasks include calendar/schedule management, meeting logistics, travel arrangements, expense reporting, invoice processing and related office management (office supplies, technology, etc.), and event coordination.
Coordinate onboarding logistics for new team members as needed and is seen as a key resource for the team.
Coordinate periodic offsite meetings and team events, liaising with different stakeholders to create participant lists, manage invitations, meeting materials, etc. ensuring collaboration with various business functions to ensure seamless execution of meetings and events.
Facilitate employee engagement in corporate citizenship events e.g. RBC Race for the kids, Employee Giving Campaign as well as manage content on RBC Connect site
Project Planning & Execution
Support WM Transformation priorities and projects including scheduling key project meetings, managing the project schedule and distributing project information to relevant parties.
Where applicable, the person will assist in performing related project tracking and reporting, updating dashboards, and providing related recommendations to ensure projects deliverables are on track/completed.
Utilize PowerPoint, MS Word, and Excel to drive the creation of high quality work products
What do you need to succeed?
Must-have:
BA/BS in a related field or equivalent experience
3+ years of experience in a coordination or support role, preferably working with senior leadership positions
Ability to handle multiple priorities in a fast-paced and deadline driven environment with the ability to provide direction to and follow
Advanced Microsoft Office skills for data analysis (Excel), and visualization (Power Point & Word) to create content. Concur
Excellent verbal and written communication
Nice-to-have:
Financial Industry experience
Previous experience managing small-scale projects and demonstrated understanding of project management, prioritization and sequencing of tasks and dependencies, detail oriented
