The Fee Billing Specialist contributes to the successful day-to-day operations of Canadian Wealth Management's Fee Group and is responsible for the management of complex fee billing processes, supporting primarily the Private Investment Counsel and Scotiatrust business lines' broad scope of fee billing activities, product, and plan types. The incumbent is also responsible for regular reconciliations, allocations of fee and interest revenue, monthly and quarterly manual, and complex billing activities, and providing fee reporting at regular intervals, as well as on an ad hoc basis, to business partners, ensuring a high level of accuracy in all activities. The incumbent must also have the ability to identify systemic problems and recommend solutions, as well as perform detailed analysis on assigned systems, applications, data, and provide subject matter expertise to deliver solutions on all initiatives related to fee collection and processing.

Is this role right for you? In this role you will:

  • Champion a customer focused culture to deepen client relationships and leverage broader Bank relationships, systems, and knowledge
  • Carrie out crucial activities related to revenue allocation across business lines, as well as interest, overdraft, and fee reconciliations
  • Maintain and oversee the administration, calculation, and charging of all complex manual fees
  • Manage complex fee billing solutions requiring inputs and outputs from/to internal and external partners
  • Identify potential and actual concerns, conduct necessary follow-up inquiries, and ensure that appropriate corrective actions are implemented in a timely manner while ensuring adherence to the policy and procedures
  • Be responsible for data management and report delivery and tracking for fee collection, allocation, and anything else related to fees that is required by business partners
  • Assist with projects related to audit, regulatory or business initiatives, including ad hoc supervision and analysis
  • Work with project teams on initiatives that impact fee billing, acting as a subject matter expert, and assisting with business requirements analysis, and any documentation requirements
  • Provide comprehensive support to the field by acting as a subject matter expert for fees and providing guidance on all fee processes, policies, and systems
  • Contribute to the success of day-to-day activities related to fee processes and policies by ensuring that all administrative resources are kept current.
  • Provide back-up to the Fee Officers and Fee Billing Service Representatives, as well as ad-hoc projects where necessary
  • Contribute to the effective functioning of the Account Transfers & Fee Based Operations team by building effective working relationships across the team and with various business lines
  • Actively share knowledge and experience to enhance the development of all team members.
  • Develop and share technical knowledge by expanding your knowledge of Scotiatrust and Private Investment Counsel fees and processes and liaising with business partners and keeping current on procedural changes and updates
  • Assist the department with functions related to fee processing as required and when support is needed for escalated/time-sensitive matters
  • Develop a strong working relationship with internal business lines and become a trusted partner for quick resolution to complex issues.
  • Identify opportunities to enhance processes
  • Ensure a high quality of customer service is provided to all clients by maintaining an elevated level of responsiveness and subject matter expertise
  • Respond to inquiries on a timely basis, liaising with internal departments as required to resolve any fee issues
  • Perform other duties as assigned by the Manager

Do you have the skills that will enable you to succeed in this role? - We'd love to work with you if you have:

  • University degree, college diploma or equivalent experience
  • Preference given to candidates with strong knowledge and experience within retail wealth management (particularly full-service advisory)
  • Completion of the Canadian Securities Course (CSC) is an asset
  • Familiarity with a variety of enterprise system technologies (e.g., web-based, mainframe, AS/400, relational databases); experience with Broadridge, PureFacts/PureFees, or other securities brokerage applications is an asset
  • A focus on client service providing a superior client experience for all clients
  • Strong developed multi-tasking skills
  • Highly proficient with Microsoft Excel and Access
  • High level of knowledge in relation to accounting practices and the movement of money via internal general ledgers
  • Ability to process complex calculations quicky and accurately and convey the results to others in a clear and concise manner to an audience of senior level executives.
  • Exceptional time/priority management skills and are detail oriented
  • Individually motivated with strong relationship building skills
  • Effective communication skills with an ability to clearly communicate and simplify complex issues
  • An ability to work under pressure, produce deliverables, and reflect high standards
  • Good judgement, organizational and analytical skills
  • An ability to creatively problem solve, resourcefully overcome obstacles, and manage priorities across several initiatives
