Objective:

The Finance Administrator is responsible for providing financial, administrative, and clerical services to ensure effective, efficient, and accurate financial operations. This position involves processing and monitoring payments and expenditures and ensuring that all financial transactions are accurately recorded and reported.

Key Deliverables:

● Ensures the accuracy of the records and data complaint to the OFIFC’s standards and law requirements

Key Responsibilities:

Accounting & Bookkeeping (50%):

● Enters and maintains accounts’ invoices and data with the collaboration and supervision of Finance Specialist

● Process daily, weekly and monthly transactions including invoice reconciliations

● Secure payments on past due accounts, compile collections tracking log and follow up with clients

● review, process and reconcile expense claim reimbursements and gather missing information to ensure compliance with GAAP and OFIFC Policy and Procedures and Finance Processes

● Maintain credit card purchase tracker, reconcile credit card statements

● Circulate cheques and direct deposit payment files for review and signature by designated OFIFC signing authorities

● Investigate and resolve invoice and payment variances

Administrative Support (30%):

● Draft, prepare and distribute correspondence, reports, presentations and documents for Finance team review. Distribute internally/externally

● Assist with ad hoc projects research, gather information and compile a written summary.

● Create and organize finance office forms, templates, power point presentations, edit training recordings

● Prepare and maintain Agreement program summary

● Assist with the development and maintenance of the finance process manual

● Update, organize and distribute Friendship Centre annual package

● Assisting in Finance department’s special projects

Audit Support (20%):

● Provide Audit support by preparing audit process documents and general reports, uploading files to the audit portal

● Provide support with ad hoc projects, such as locating files, research information and data and review reports for accuracy

● Draft/Update processes and track documents for improved efficiencies

● Report and prepare reminders of processes to Management/Office Coordinator

● Liaison between OFIFC and Insurance Broker regarding OFIFC Insurance policy and billings

Education/Work Experience:

● Diploma relevant to Accounting, Finance, or Business

● Over 1, up to and including 3 years experience in a related field preferably within an Indigenous organization

Technical Competencies:

● Knowledge of GAAP and accounting functions/practices

● Proficiency in MS Office applications (Excel, Word, Access, etc.)

● Working knowledge of accounting software

● Understanding of data collection principles

● Proficient business communication skills both written and verbal.
