Overview
The Office and Operations Specialist is responsible for managing non-management operational functions and providing front desk and operational support at the branch. This onsite dual role combines office management with operational project responsibilities, ensuring operational readiness and efficiency.
How you'll make an impact
Office & Facilities:
- Manage the day to day running of the branch & all facilities.
- Provide front desk and administrative support, including office supply & inventory management, phone/mail duties, and vendor engagements.
- Coordinate maintenance and repair of office equipment and facilities.
- Conduct regular audits to ensure that the office equipment & assets are functioning as desired.
- Maintain a pleasant working environment and ensure that employees and visitors feel welcome and comfortable.
- Oversee branch facilities to ensure a safe environment and comply with the various internal and external building/business safety rules.
- Participate in Gallagher's global business continuity initiatives and reports.
- Manage engagement with landlords and vendors; manage payments and office expenses.
Liaison duties
- Maintain contact lists and critical process documents to ensure compliance.
- Support onboarding new team members.
- Organize branch meetings, ensure timely bookings and support in coordinating office events.
- Act as liaison between IT and the branch; manage service requests and IT issues.
Operational Duties:
- Provide documentation & presentation support to staff. Assist with ad-hoc reporting and file/data organization.
- Manage various operational projects and initiatives as per the business requirements.
- Maintain if needed, and audit client databases and CRMs.
- Support various data cleanup initiatives. This will be an ongoing requirement for this role. Knowledge of corporate systems and Microsoft suite will be critical to perform these tasks.
- Ensure branch operations comply with professional global standards and audit requirements.
- Assist colleagues with any operational query or problem. Collaborate with other functional teams as needed.
About you
- Likes working with people and can collaborate effectively with individuals and groups. Has a "here to help" attitude and thrives in an office environment.
- Is a fast learner and is solution oriented.
- Knowledge of workplace safety & employee wellbeing is advantageous
- Can seamlessly switch between administrative, repetitive, and office administration tasks and relatively complex data focused projects.
- Advanced Microsoft Excel and PowerPoint skills.
- Process & data oriented, with a keen eye for compliance.
- Highly organized and can multitask. Proven ability to manage multiple projects and deliver quality results with minimal supervision.
- Strong prioritization, time management skills and attention to detail.
- Experience in a similar fast-paced environment preferred.
- Familiarity with branch operations & compliance processes is advantageous.
