Position Title: Human Resources Coordinator - Talent Acquisition
Reports To: Manager, Talent Acquisition

Term: Temporary Full-Time, Twelve (12) Month Contract


Work Arrangements: This is a hybrid role. You will work in our office in Waterloo, ON a minimum of two (2) assigned, consecutive days every other week, plus a fifth (5th) assigned day per month. You are welcome to work from the office more than the minimum requirement and there may be some roles that are required to work in our office more than the minimum requirement.

This role is all about attending to those little details that ensure we provide consistent, highly effective customer service and that ensure all process requirements are met. This includes managing end-to-end full cycle recruitment for assigned roles, handling ongoing administrative and other support tasks for the Talent Acquisition team, and playing a key role in facilitating all student hiring programs.

What you will be doing:

  • Facilitate all summer student and co-op hiring processes each work term, working with the hiring managers for all student hiring needs across the organization.
  • Assist, and at times lead, initiatives that grow and promote our employer brand on campus at all schools we currently partner with for undergraduate recruitment, including information sessions, career fairs, and social media messaging.
  • Work with our team to deliver events for employed students to ensure they have a positive experience with our organization during their work term.
  • Assist the talent acquisition team with any ongoing administrative tasks, including but not limited to:
    • Job Posting
    • Background checks
    • Managing the central email inbox, responding or delegating as required,
    • Drafting offers
    • New hire onboarding communications and payroll tasks.
  • Support our HR Coordinators as needed, acting as their primary back up, including but not limited to managing daily email inquiries to the generic HR inbox, exit interviews, scheduling meetings, processing all HR department invoices, drafting and tracking all employee change or job offer letters, and any other duties as assigned.
  • Contribute to HR team process improvement projects or other broader HR initiatives/projects.

What you will bring:

  • Previous Human Resources or Recruitment experience, ideally handling full cycle recruitment, is preferred.
  • A bachelor's degree or equivalent work experience is required.
  • Professional designation in Human Resources (CHRP) certification or working towards designation is not mandatory but is preferred.
  • Previous experience using tools like Indeed Resume or LinkedIn Recruiter to direct source passive candidates is an asset.
  • Bilingual written and verbal communication skills with French and English would be an asset.
  • Knowledge of Human Resources and Employment Standards practices.
  • High level of integrity with a strong sense of confidentiality and privacy.
  • Strong interpersonal skills, written and verbal communication skills, and adaptability.
  • Demonstrated dedication to customer service excellence.
  • Demonstrated resourcefulness and initiative when working in ambiguous situations.
  • Microsoft Office knowledge, including Word, Excel and PowerPoint.
  • Must be able to work with frequent interruptions.
  • Ability to work occasional overtime during conflicting deadlines.
  • Ability to quickly shift priorities and remain calm when balancing meeting client expectations and the demands of routine work.
