As part of the Operations team, the role of the Treasury Administrator is to prepare, process and confirm treasury directions received from our clients and their intermediaries. The treasury directions are to be understood as movements of securities, not cash related activities

This role is 5 days/week in office with potential to convert to hybrid

Key Accountabilities:

  • Coordinate issuance of securities from Treasury by reviewing the Treasury Directions and supporting documentation to ensure the acceptability in accordance with our corporate policies and industry standards.

  • Review and validate registration instructions, date of issuance, amount of shares for issuance, class of shares and ensure appropriate legend/restrictions are affixed on certificate(s) / DRS as required.

  • Prepare securities issued for delivery in accordance with the direction provided.

  • Liaise with Relationship Managers and in some cases with the Issuer or their Legal Counsel to communicate and resolve any deficiencies on Treasury Directions.

  • Be knowledgeable and up-to-date regarding requirements of all exchanges and industry regulations

  • Work with the team to keep operational procedures and guidelines up-to-date and enrich them whenever needed.

  • Help further strengthen the risk framework by acting as the first line of defense and implementing relevant controls.

  • Help streamline the process flows and develop initiatives to increase the added value for the clients, their shareholders and the company.

  • Other duties and responsibilities as assigned.

Must Have (s):

  • Minimum 1 year experience in the securities industry as it relates to back-office administration

  • Proficient in Microsoft Office and Google suite applications

  • Strong understanding of the English language a must as majority of clients are based outside of Québec, French an asset

  • Communication: excellent written, verbal and listening skills

  • Organization & Detail Oriented: strong organizational skills and attention to detail

  • Ability to organize and prioritize tasks and effectively communicate with peers and all levels of the company

  • Client Focus: develops and maintains strong relationships with internal and external clients. proven ability to understand clients' needs and develop the appropriate solutions

  • Confidentiality: show discretion and ability to handle confidential issues

  • A willingness and ability to adapt to a changing environment and responsibilities

  • Decision & Problem Solving: strong decision making and problem solving skills

  • Interpersonal skills / Teamwork: diplomatic manner and disposition when interacting and working with others: clients, co-workers and management.

  • Independent worker: high level of self-motivation and at ease working independently when necessary

  • Must have a flexible schedule to work overtime as required

Nice Have:

  • Completion of Canadian Securities Course and similar courses are preferred, but not essential
